Does organising Partner Visa evidence actually matter that much? Yes.
Evidence is the key to demonstrating your genuine and continuing relationship. You can be in a genuine and committed relationship, but if your evidence is disorganised, incomplete, or unclear, the Department of Home Affairs may not be able to see your real love story.
I’ve seen it far too many times – a strong relationship where a couple has been together for years and years is undermined by their poorly presented evidence.
Your evidence speaks for you
I say this all the time during an Evidence Planning Session, that you know your relationship inside out. If you’re a Partner Visa Academy member, I will probably also know your relationship inside out, but the case officer doesn’t. They aren’t having conversations with you, they aren’t seeing the way your faces light up when you talk about each other. They rely entirely on the documents you submit to decide whether your relationship meets the legal criteria.
If your evidence is scattered, repetitive, hard to follow, or uploaded without explanation, it makes it really difficult for a case officer to understand your history. It can even create doubt as to whether it’s a genuine and continuing relationship. On the other hand, a well-organised application tells a clear logical story which makes the case officer’s job easier and your relationship easier to understand. Ultimately, the goal is to make the case officers’ job as easy as possible!
What evidence do I need to start organising for my Partner Visa?
I’ve talked about the types of evidence extensively in previous blog posts. If you’re not familiar with the four pillars of relationship, I recommend you read our blogs on each of the pillars including financial aspects, social aspects, nature of household, and nature of commitment.
How should I organise my evidence?
There isn’t a ‘perfect’ way to organise your evidence, nor is there a hard and fast rule on it, but I can share what I’ve seen works over the years.
The best applications had structure and organisation. We teach couples at the Partner Visa Academy exactly how to organise and structure the evidence of their relationship, and I’ll share some insight into how with you now.
Set up your folders
Being prepared from the outset is going to make a really big difference here. Remember the four pillars of relationship? This is a great place to start. Instead of saving every single bit into one folder called ‘evidence’, create a separate folder for each pillar. That’s your financial evidence, household evidence, social evidence, and commitment evidence.
You need to start thinking about what the decision maker actually wants to see when compiling your evidence and not just taking photos of every receipt you can find. Having your folders set up is also going to help you see what documents you have under each category. You might be surprised to learn that two pillars are really strong, while the other two are weak. It will then give you the time you need to start strengthening any weak pillars.
Group similar documents
Next you’re going to want to group similar documents together. I often see couples split up every single bit of evidence because they think more attachments equals a better application. Not only is that not true, but it’s actually probably making it harder for the decision maker to understand what you’re providing and why.
For example, take your joint bank account statements. Don’t upload seven different documents. Group your statements into a single PDF. Other examples of documents that you should group are samples of social media, evidence of a shared address, and photographs together.
The lesson here is that more isn’t always better. Learn how to combine your documents together.
Organise your photographs
Speaking of photographs, another common question that comes up is around organising photographs. This might seem obvious, and there’s really not much else to it, but don’t provide a PDF with 50 different photographs all mixed in together. Put them in chronological order to make it easier for the decision maker to follow the timeline of your relationship.
We can come back to the reminder that it’s your job to explain to Immigration what you are providing. Your photographs need to have context. Part of organising Partner Visa evidence is making sure that you label each photo with a description of who is in the photo, the date it was taken and the location or event you and your partner attended.
Label your documents
Grouping and organising your documents is a great start, but you also want to make sure you’re labelling documents correctly too.
I once had a lovely couple who had been together for about three and a half years, lived together for two and a half years and had all the ‘right’ evidence. It seemed like it was going to be a really great application on paper.
They were on a time-crunch so they sent me their application to review but, to my surprise I could barely understand what was going on with the relationship. In the Evidence Planning Session I had with them, they told me all about how they shared finances, they told me about how they share household duties and how long they have been living together. They told me all about adopting their puppy and camping trips they take together.
But when I started reviewing the application, nothing made sense. Documents were labelled ‘dog stuff’, ‘mails’, ‘splitwise spending’ and the list goes on. They had the evidence there, but it just made no sense.
When your application is being assessed by a case officer, your evidence speaks for you. Using the correct naming conventions and labels is also going to make the case officer’s job easier to assess what evidence you’re providing and why.
Include a relationship timeline
A relationship timeline is not the same as a relationship statement.
Your relationship timeline highlights key events and milestones of your relationship. It should cover key dates like when you first met, when you committed to a relationship, when you started living together, when you were engaged/married, when you took your first trip together, when you met each others families for the first time, and so on.
It should be 1-2 pages long at most. It’s a factual document with key dates and events. You’re not going to be going into detail about your love story here.
A timeline document is important as it’s a great reference document for the case officer so they can have a nice, clear summary of what your relationship has looked like since it started.
Does organising Partner Visa evidence really make a difference to the application?
Yes.
A Partner Visa is one of the most complex visas in Australia. Submitting a well organised application signals to the Department that you understand the seriousness of the visa you’re applying for and you’ve made genuine effort to meet the criteria for a Partner Visa.
Organising your evidence also saves you time, stress and money. Without a clear system you might find yourself scrambling to upload documents, forgetting which documents you have already used or haven’t used and in some cases even paying extra for professional help to fix avoidable mistakes.
Are there certain tools or systems to help me with my evidence?
Yes! We’ve tried and tested a lot of different tools and systems. The ones that I love and our Partner Visa Academy members love include CamScanner for scanning documents and ilovepdf for converting documents into PDF or re-sizing. Canva is also a great option for organising documents and photographs. How many documents can we upload to our application?
You can upload 100 documents per person on the Partner Visa application. That’s a lot of documents!
With the best put together Partner Visa applications, I don’t usually see 100 documents uploaded because a better way to organise evidence is to group similar documents together.
Is there a size limit for our documents?
Yes. You can only upload a maximum of 5MB per document to the ImmiAccount.
How do we include messages and/or posts from social media?
There are a few ways to do this and my recommendation might be based on what the other evidence of your relationship looks like. One of the best ways to organise social media evidence is a file that’s dedicated just to social media. For example, screenshots/mutual friends/invites and use it all as part of social media.
Do we need to upload evidence after our Partner Visa is lodged?
Yes. It’s not a legal requirement but it’s a great idea. I recommend couples update their evidence every 3-4 months (for some couples it might just be every 6 months). You can update your evidence by logging back into your Immi Account and simply adding documents. You can continue to attach documents to your application until a decision is made on your Partner Visa application.
